My employer has an e-mail server that's running RH8 and OpenWebMail. Most of the staff use the OpenWebMail browser interface to send and receive e-mail, but there are about 10 users that are using Outlook as a POP3 client.
It's a fairly simple job to back up all the mail that is handled by OpenWebMail, and we have good archives of all of it. The problem is that I don't know how to back up "sent" mail from the Outlook users.
All incoming mail for Outlook users gets saved on the server and backed up. But outgoing mail from an Outlook user goes (afaik) directly from Outlook, out to the network. If it's mail that stays within our system, it gets backed up as received mail on another user's account. But if it's destined for an address outside of our system, the only backup that exists is within the Outlook .pst file, a file that exists only on the local machine and is not backed up.
What I want to do is find a way to copy this sent mail before it leaves our system, so that I can include it in backups. It would be nice to only capture mail sent by the Outlook users, but if it's necessary to copy ALL sent mail, I could accomodate that.
Incoming mail is easy. I can create a "dot forward" file or an alias, and make as many copies as I want. But how can I copy these sent emails?
If at all possible, I want to do this without involving the client PCs. Our goal is to have nothing on a client PC that can't be lost without compromising our data integrity. Also, especially with the Outlook users, there are issues with users changing settings on their PCs. We strive to make this difficult or impossible, but some of them will find a way.
I await the input from this forum with great anticipation, and am grateful to those of you who have read thus far.
One way would be to add a blind carbon copy header in your mail server and send a copy to your repository mailbox.
Hmm. I'm a bit challenged by lack of experience, knowledge, intelligence, etc. How would I add such a header? I could probably figure out how to do this in OpenWebMail, but that's not my problem: I don't think OpenWebMail has any effect on outgoing mail from Outlook. Or is there some other place where I can do this?
The geocities site looks very promising, and I appreciate your help very much. I'll definitely be looking into this solution and trying it out as soon as possible. The other site, unfortuately, wants more money than I can afford to pay to read it. But thanks, I think you've got me on the track to a solution.
